Assistant / Office Coordinator (part-time)

Job Description

Overview:

We are a campervan business specialising in building, selling campervans, and offering campervan accessories. We’re seeking a proactive and organised Personal Assistant / Office Coordinator to join our team.
This part-time role is designed to suit school hours, making it an excellent fit for a parent with children around school drop-off and pick-up times. Knowledge or an interest in camping, campervans, or the outdoor lifestyle is a massive plus!

Key Responsibilities:

-Administrative Support: Sort and prioritise emails, ensuring key messages are flagged and addressed.
-Time Management: Manage calendars, book appointments, and ensure schedules are optimised.
-Procurement and Supplier Coordination: Order and purchase products, liaise with suppliers, and track orders. Experience with Shopify
and Purchase Orders is a plus.
-Team Coordination: Ensure timesheets are accurate and up-to-date, and assist with scheduling jobs.
-Financial Oversight: Work with bookkeeping to confirm invoices and payments are processed.
-Personal Errands: Handle occasional personal tasks, such as buying gifts or running errands.
-Project Assistance: Support small projects, ensuring tasks are completed on time and within scope.
-Phone and Communication Management: Answer phone calls and ensure clear communication across the team.

Preferred Skills and Experience:

-Previous experience in personal assistance, office coordination, or project management.
-Familiarity with purchase orders and Shopify systems is highly desirable.
-Knowledge or interest in camping, campervans, or the outdoor lifestyle is a significant advantage.
-Strong organisational skills with the ability to multitask and prioritise effectively.
-Excellent communication skills, both written and verbal.
-Proficiency with basic office software (e.g., email, scheduling tools, and spreadsheets).
-A proactive and problem-solving mindset.
-Experience managing small projects or tasks with timelines and deliverables is an advantage.

Job Details:

Location: Based in Auckland, with a mix of in-office and remote work.
Schedule:
Monday & Thursday: In the office.
Friday: Possibly in the office.
Tuesday & Wednesday: Some work-from-home hours.
Flexible part-time hours designed to suit school hours, typically around 9:30 AM to 2:30 PM.
Start: ASAP.
